OFFICE ADMINISTRATOR ? PART TIME
LIST OF DUTIES WILL INCLUDE, BUT ARE NOT LIMITED TO:
* Working across different programmes to support the Finance Manager
* Printing of sales invoices and matching to quotes and delivery
dockets
* Ensure compliance with all CCDP policies and procedures
* Maintain full procurement file in hardcopy, scan and upload
procurement documentation as required to Microsoft Teams
* Maintain a record of cumulative spend for all suppliers under each
programme
* Check payment files are complete, correct and have the relevant
signatures before they are submitted to the finance manager for
payment
* Respond to queries in an accurate and timely fashion
* Sorting & distributing of incoming post and outgoing post
* Assisting with Financial Year End if needed
* Assisting with company and programme audits if needed
* Bank postings
* General administration and office duties
* Maintain a flexible approach to all aspects of the job
* Other tasks as assigned by the Finance Manager and/or CEO.
REQUIREMENTS:
* Minimum 3 years of high-level administrative experience
* Relevant qualification
* Excellent verbal and written communication skills and
interpersonal skills
* Experience in document control and management
* A calm and professional manner
* Have excellent attention to detail, be well organised,
self-motivated and have a strong ability to work on their own
initiative
* Have a proven ability to work well in a small team
* Possess the ability to be flexible in a busy office
* Ability to work with tight operating deadlines while always
ensuring accuracy
* Strong working knowledge of Microsoft suite
* Knowledge of SAGE Accounting package is desirable but not
essential
* Sound judgment, tact, diplomacy, and professionalism applied in
all transactions, maintenance of utmost confidentiality with sensitive
and personal information
* Knowledge of GDPR
* Understanding of or interest in community development and social
inclusion would be an advantage.
